Insurance Tracking Minimum Deduction Utilities

Change:

Two utilities have been created to add, change and remove payroll deduction codes and amounts from the employee profile based on their Insurance Tracking Group, Plan and Coverage Code as of a defined IT processing date.  This will allow the separate minimum deduction sub plans to be removed from Insurance Tracking and enable minimum deductions to be processed through payroll separately.

Reason:

This new feature prioritized and funded through the WSIPC enhancement process.

Feature:

Streamline Entry of Effective Dates in Insurance Tracking

Change:

An option has been added to allow the user to select which subplans to add after adding an IT master.  The start date from the IT master is used as the start date on the subplans being added.  An option has been added to allow the user to end all subplans when ending the IT master.  The end date on the IT master is used as the end date on the sub plans.  Existing configuration options are used for adding and ending deductions and benefits for the sub plans.

This new feature prioritized and funded through the WSIPC enhancement process.

Health Savings Account Screen Changes

Change:

Insurance Tracking Employee Sub Plan Maintenance and Open Enrollment Election screens no longer reference Annual Election amounts for sub plans defined as HSA = yes.

Reason:

Annual Election amounts are not applicable to Health Savings Accounts.

WESPaC Insurance Tracking (Mass Update Sub-Plans)

Insurance Tracking was enhanced to provide the ability to mass update Sub-Plans.  Previously, in order to update the premiums for a group of Sub-Plans, clients had to manually edit each Sub-Plan.

The calculation that generates the Employee Distribution Pool Amount which displays on the Worksheet was modified to use all 4 decimal places of the Employee Distribution FTE.  Previously, the Employee Distribution FTE was being rounded to 2 decimal places before the Employee Distribution Pool Amount was calculated.

Defect correction.

Change:

Insurance Tracking Calculate Process was modified to properly calculate the total pool (based upon Benefit FTE) and distribute the pool (based upon Distribution FTE).

The Worksheet screen was modified to provide a better explanation of the pool calculation and how many dollars the employee is contributing or drawing from the pool dollars.

Reason:

Previously, the pooling calculation would not distribute the total pool dollars correctly based upon Distribution FTE, but make it first distribute pool dollars based upon the Benefit FTE.

Two reports associated with Insurance Tracking are being added to the WSIPC library of Quick Pick Reports for common distribution:

  •  IT Monthly Amounts by Code: List deduction and benefit amounts for all employees in Insurance Tracking, sorted and totaled by Ded\Ben Code.

  •  IT Monthly Amounts by EE: List deduction and benefit amounts for all employees in Insurance Tracking, sorted and totaled by Employee Name.

Reason:

Good reports for WESPaC clients.

A distribution FTE field was added, which allows users to set the insurance pool distribution percentage per employee regardless of their benefit FTE.

Reason:

This allows pooling to be evenly distributed among all employees or to be distributed based on each employee’s employment status (full time, part time, and etc.)

Mass Update Insurance Tracking Benefit FTE

Change:

  • Added the ability to update the Benefit FTE in Insurance Tracking from a selected plan in Employee Management.

  • Added the ability to update the Benefit FTE in Insurance Tracking from data in an Excel spreadsheet.

The spreadsheet must contain at least three columns of information:

  • One column identifies the employee, and either the name key or the social security number can be used.

  • One column is the insurance tracking group code for the employee. This value must match the employee’s Insurance Tracking record.

  • One column is the new Benefit FTE. (FTE can range between zero and one.)

Reason:

Provide method to mass update the Benefit FTE in Insurance Tracking.

Note:

  1. Employee records in row 1 of spreadsheets are not currently being imported. Use row 1 for header information ("Name Key", "Group", "FTE" for example), as these cells cannot be blank. Your first employee record should appear in row 2.

  2. The sample data displayed on the Excel import screen shows FTE as a 1.10 decimal field, rather than 1.4. This is a display issue only - the data being written to employee records are those in the Excel spreadsheets.

  3. Training issue: Delete all unnecessary columns before uploading an Excel file (the three required columns are Name Key, Group, and FTE). Failure to delete extra columns may cause errors and prevent upload.

  4. There is currently a size limitation on Excel files uploading to Insurance Tracking. Files over approximately 1000 lines may return an error and not upload. If you need to upload more records than this, split your file into two or more pieces and upload each separately. (Remember that the first line of each spreadsheet needs to be header or other information, NOT an employee record to be upload.)

A few items need additional review by Skyward for potential changes in the future.
