Purchasing Reports

The reports are accessed from the Reporting button on the menu or from the Report button on the Requisition or Purchase Order Entry screens.

Requisition/PO Listing Report

The Requisition/PO Listing report lists requisitions and/or purchase orders by vendor or by number.

NOTE: If you are using PO Groups but do not have access to any PO Groups in the Requisition/Purchase Order process, you cannot run this report.

Menu Path: Financial Mngmnt / PUrchasing / Reporting

  1. On the Financials - Reports screen, from the Options list, highlight Requisition/PO Listing.

  2. Click the Run button. The Purchase Order Report Ranges screen opens.

  3. Select the Sequence in which you want the report to print:

  1. If you are using PO Groups, the option to select the Group to include in the report is available. The first Group code in the Group Code table is the default. (This selection only appears on the screen if you are using PO Groups. Otherwise it does not appear.)

  1. Highlight the Code you want to use.

  2. Click the Select button.

  1. Click the All Groups button.

  1. In the Record Type(s) frame select the status of the requisition/purchase orders to include on the report.

  2. As needed, enter a low and high PO Number range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  3. As needed, enter a low and high Batch Number range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  4. As needed, enter a low and high Vendor Key range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  5. As needed, enter a low and high Date Entered range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  6. As needed, enter a low and high Date Due range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  7. As needed, enter a low and high Fiscal Year range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  8. From the Liquidation Status drop down list select the status of the purchase order to include on the report. This is the Liquidation Status as defined on the purchase order.

Purchase Orders matching this Liquidation Status are included on the report provided they meet the other selection criteria.

  1. From the PO Origin drop down list select the origin of the purchase order to include on the report. This is the Origin as defined on the purchase order.

Purchase Orders matching this PO Origin are included on the report provided they meet the other selection criteria.

  1. As needed, from the Report Options frame,

  1. Click the Print button. The Output Destination screen opens.

The system prompts you to select a print option. You can choose to print the reports to screen, to a printer, or to save the report for later viewing.

  1. Click the OK button.

  2. Click the Close button to return to the Reports screen.

Account Number Sequence Report

The Account # Sequence report lists requisitions and/or purchase orders by account number.

NOTE: If you are using PO Groups but do not have access to any PO Groups in the Requisition/Purchase Order process, you cannot run this report.

Menu Path: Financial Mngmnt / PUrchasing / Reporting

  1. On the Financials &endash; Reports screen, from the Options list, highlight Account # Sequence.

  2. Click the Run button. The PO Report by Account Sequence screen opens.

  3. Select the Sequence you want to use. The system default is Regular. Sequence determines how the account number displays.

  1. Highlight the Code you want to use.

  2. Click the Select button.

  1. If you are using PO Groups, the option to select the Group to include in the report is available. The first Group code in the Group Code table is the default. (This selection only appears on the screen if you are using PO Groups. Otherwise it does not appear.)

  1. Highlight the Code you want to use.

  2. Click the Select button.

  1. Click the All Groups button.

  1. In the Record Type(s) frame select the status of the requisition/purchase orders to include on the report.

  2. As needed, enter a low and high PO Number range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  3. As needed, enter a low and high Batch Number range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  4. As needed, enter a low and high Vendor Key range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  5. As needed, enter a low and high Date Entered range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  6. As needed, enter a low and high Date Due range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  7. Select the PO Origin from the drop down list.

Purchase Orders that match the PO Origin selected are included on the report provided they meet the other selection criteria.

  1. To restrict the account number ranges to include on the report, click the Account Filter button.

  1. Click the Print button. The Output Destination screen opens.

The system prompts you to select a print option. You can choose to print the reports to screen, to a printer, or to save the report for later viewing.

14. Click the OK button.

15. Click the Close button to return to the Reports screen.

Printing Requisitions or Purchase Orders

The Print P.O.’s report prints the requisitions and/or purchase orders to be sent to the vendor for processing.

NOTE: If you are using PO Groups but do not have access to any PO Groups in the Requisition/Purchase Order process, you cannot run this report.

  1. On the Financials &endash; Reports screen, from the Options list, highlight Print P.O.’s.

  2. Click the Run button. The Purchase Order Print Parameters screen opens.

  3. If you are using PO Groups, the option to select the Group to include in the report is available. The first Group code in the Group Code table is the default. (This selection only appears on the screen if you are using PO Groups. Otherwise it does not appear.)

  1. Highlight the Code you want to use.

  2. Click the Select button.

The Select Group screen opens:

  1. Click the All Groups button.

  1. As needed, enter a low and high PO Number range. Purchase Orders within this range print provided they meet the other selection criteria.

  2. As needed, enter a low and high Batch Number range. Purchase Orders within this range print provided they meet the other selection criteria.

  3. As needed, enter a low and high Vendor Key range. Purchase Orders within this range print provided they meet the other selection criteria.

  4. From the Batch Status drop down list, select the requisitions/purchase orders status you wish to print. Purchase Orders matching the Batch Status print provided they meet the other selection criteria.

  5. From the Print Sequence drop down list, select the order in which you want the purchase orders to print. This determines the order in which the purchase orders will be sorted as they print.

  6. From the Fiscal Year drop down list, select the fiscal year of the purchase orders to print. Purchase Orders matching the Fiscal Year print provided they meet the other selection criteria.

  7. From the Previously Printed drop down list select:

  1. Click the Print button.

The system prompts you to select a print option. You can choose to print the reports to screen, to a printer, or to save the report for later viewing.

  1. Click the OK button.

  2. Click the Close button to return to the Reports screen.

Print Multiple Copies

  1. When printing, set the Output to Screen.

  2. Click the OK button.

  3. When the report opens, use the File menu option in the upper left corner.

  4. Select Print. The Print screen opens.

  5. From the Copies frame, in the Number of Copies field, enter the number of copies you want to print

  6. Check the Collate check box.

  7. Click the Print button.

PO Payment History Report

The PO Payment History Report lists purchase orders and the Invoice payments made toward the purchase order.

Menu Path: Financial Mngmnt / PUrchasing / Reporting

  1. On the Financials &endash; Reports screen, from the Options list, highlight PO Payment History Report.

  2. Click the Run button. The PO Payment History Report Ranges screen opens.

  3. As needed, enter a low and high PO Number range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  4. As needed, enter a low and high Batch range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  5. As needed, enter a low and high Vendor Key range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  6. As needed, enter a low and high Date Entered range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  7. As needed, enter a low and high Date Due range. Purchase Orders within this range are included on the report provided they meet the other selection criteria.

  8. Check the Only POs with Payments check box to only include purchase orders with payments. Purchase Orders that have had payments made against them are included on the report provided they meet the other selection criteria.

  9. In the Purchase Order Status frame, select the status of the purchase orders to report on. All are checked by default.

  10. In the Liquidation Status frame select the status of the purchase orders to report on. All are checked by default.

  11. Click the Print button. The Output Destination screen opens.

The system prompts you to select a print option. You can choose to print the reports to screen, to a printer, or to save the report for later viewing.

  1. Click the OK button.

  2. Click the Close button to return to the Reports screen.
