Modified the utility to exclude pay codes with Contract = No and Rate Type = No from the Available Contract Pay Codes selection list. Modified the utility to include pay codes with Contract = Yes and Rate Type = Yes in the Available Contract Pay selection list. Previously, the Available Contract Pay Codes selection list only displayed Pay Codes with Rate Type = No, regardless of the Pay Code Contract = value, (Yes or No).
Enhanced pay record validation and warnings for pay records (see notes below).
Added option to round hourly wage to the nearest penny. |
Reason: |
To exclude stipend-only pay records which are neither contract nor rate type from erroneously being included in the selection process. Enhanced pay record validation and warnings were needed.
To allow pay codes with Contract = Yes and Rate Type = Yes to be selected and used in the calculation if there is a valid active contract. Enhanced pay record validation was needed to support this change.
To allow the option of rounding the hourly wage to the nearest penny or to 4 decimal places. |

Additional warnings display on the Mass Calculate Hourly Wage Warnings Report when "Hourly pay records" on the Mass Calculate Hourly Wage screen is selected:
This message will display if the pay record contains a pay code that has Rate Type = Yes but the process determines there is an active contract associated with the pay record. Thus, the process assumes this is really a contract pay record not a rate type pay record and excludes it from the hourly wage calculation.
This message will display if the process determines the pay record is indeed a rate type record and the rate is greater than $300.00. If this condition is encountered, the warning is displayed on the Warnings Report, but the pay record is not excluded from the Verification Report or the hourly wage calculation.
Additional warning displays on the Mass Calculate Hourly Wage Warnings Report when "Hourly pay records" or "Contract pay records" on the Mass Calculation Hourly Wage screen is selected:
This message will display if all pay records for this employee were excluded from the hourly wage calculation.
If the "Round Hourly Wage to the nearest penny" checkbox on the Mass Calculate Hourly Wage screen is unchecked:

The utility was modified to determine if an employee’s WESPaC profile record existed or not prior to the update. If the record does not exist, then the process will now create the record. The process did not create the WESPaC profile record, in the past, if the record did not exist. |
Reason: |
If the WESPaC profile record does not exist when this utility is run for a person, the process will fail. |

A new utility to mass calculate hourly wages for selected employees. The utility populates the hourly wage field on the WESPaC Employee Profile General tab. |
Reason: |
The current method for calculating an hourly rate for sick pay in the payroll UC calculation results in an inconsistent value from month to month. With this utility in place, the district can calculate an hourly wage for each employee and Skyward will be changing the payroll program to use this value that will be the same each month, making the UC calculation more reliable. |

There is a request currently at Skyward to change the UC calculation to use the hourly wage field on the WESPaC Employee Profile General tab when calculating sick pay. This change will occur in a future Skyward release. In preparation for this change, districts should use this utility to calculate new hourly wages for all of their employees after the new fiscal year contracts are set up. |
