Version 05.14.02.00.03, March 8, 2014 - standard release

Change:

Corrections were made in the Report Period and Cumulative Summary section of the report.

 

Summary Version:  A correction was made so the printed total of GPA Credits Attempted is correct for each grading period.

 

Detail Version:  A correction was made so the printed value for GPA Credits Attempted is correct for each class.  Additionally, a correction was made so the printed total of GPA Credits Attempted is correct for each grading period.

Reason:

The value printed for GPA Credits Attempted was incorrect if there was a current year class for Semester 1 with a grade mark of F, and if there were no Semester 2 grade marks, and if the report was run prior to the grading period end date for Semester 1.  This was a display defect only.  The student’s Cumulative GPA Credits Attempted and Cumulative GPA were correct.

Change:

Corrections to defects when the grade mark is "W."

Reason:

  1. Sometimes the values for Credits Earned, GPA Credits Attempted and GPA Credits Earned were wrong when there was a "W" grade mark for a grading period of a Year class and the student's Grade History record had been converted to Historical prior to the end of the grading period.  This impacted the standardized high school transcript, the academic history report, the WA GPA tab in Student Profile and the CEDARS submission.

  2. Sometimes the value for Credits Attempted was wrong if there was a "W" grade mark, and if the Grading Setup for Grade Marks had "Use in Earned" = Yes for "W."  This impacted the standardized high school transcript, the academic history report, the WA GPA tab in Student Profile and the CEDARS submission.

Change:

  1. The Credits Attempted value for a historical class is now correct.

  2. The Credits Earned value for a current class is now correct.

Reason:

  1. The Credits Attempted value was incorrect if:  (a) the class was historical, and (b) the grade mark = W, and (c) the course had multiple credit-earning grade buckets (typically "Year"), and (d) at least one credit-earning grade bucket contained a W grade mark and the other credit-earning grade bucket(s) were empty.  The Credits Attempted printed was the value for the entire course length and was not being divided by the total number of credit-earning grade buckets.  This lead to errors in the Report Period and  Cumulative Summary section.  Credits Attempted for the Grading Period and for the Cumulative data were incorrect.

  2. The Credits Earned value was incorrect if: (a) the class was current, and (b) the course had multiple credit-earning grade buckets (typically "Year"), and (c) all credit-earning grade buckets contained grade marks where one grade mark was W and the other grade mark(s) were not W.  The Credits Earned value for the non-W grade mark was incorrect.  This lead to errors in the Report Period and Cumulative Summary section for the Grading Period and for the Cumulative data.  Values were incorrect for Credits Earned, GPA Credits Earned, GPA Credits Attempted, GPA Points, and GPA.

Reason:

  1. Course Description:  If the Category on a course is Transfer or Alternative or Waiver, a custom course description can be entered which is longer than the standard short description of 15 characters.  However, only 15 characters were printed on the academic history report.

  2. Course Designation Code - Honors:  The "H" course designation code was printed twice if it was entered both on the Course screen and on a Student Grade History screen.

  3. Course Designation Code - Cambridge Program:  Other course designation codes are available for selection on user-defined reports.

Change:

  1. When the Activity Selection option is chosen, only students who are currently participating in an activity are selected.

Reason:

  1. The process was selecting students who are currently participating in an activity as well as students who had participated in the past.

  2. Because the Course Category equals Transfer and the State Course Code type is AP or IB, the Course Designator A or I will print on a student’s Transcript for each student added to this transfer course.  This "Caution" message points out that the state course code should be entered for an individual student through Grade History.

  3. If the SUD field was used in an address, the Parent\Guardian address and the School of Record address were always printed with "APT."

Reason:

  1. If the Final grade bucket is used, the grade record is correctly printed on the transcript.

  2. The academic history report is now available only in Web Access and is not available in WESPaC.  If the option is selected in WESPaC, a message is displayed that includes the menu paths for the transcript in Web Access.

  3. A data manipulation is being run on the table for District Configuration Print Engine Setup so it contains correct information for printing the Web version of the academic history report.  The data manipulation is being run only for school districts that have not yet converted to WESPaC Finance.  It is not being run on districts that have already converted to WESPaC Finance because the conversion process populates the Print Engine Setup fields.

Reason:

 

  1. If the Final grade bucket was used, the grade record was not printing on the report.

  2. Because the changes for a Final grade bucket were only made for the Web Access version of the academic history report, the PaC version of the report is now obsolete.

  3. The districts that had not yet converted to WESPaC Finance did not have appropriate data in the Print Engine Setup fields and thus could not print the Web Access version of the academic history report.

Implementation Notes:

The By Range and By Individual reports have been replaced with a single report with selection By Range or By Individual.

 

The report parameter screens have been consolidated to a single screen consistent with all Transcript reports.

 

The student selection ranges have been expanded to include All Default Entities or Selected Default Entities which allows the report to be generated for students who are active in the entity but whose default entity is not equal to the entity running the report.

 

The sort option, Family, has been renamed, Primary Guardian Name, to reflect the actual sort and a sort option of Primary Guardian Key has been added.

 

Student Rank Processing allows for the selection of the Last Grading Period Completed as well as any valid grading period in the current year.  In most instances, it is appropriate to calculate rank on the last grading period completed.  The Rank Process will always be run prior to the generation of the Academic History Report if Include Rank in Class is checked.  Students who have been marked to be Excluded from Rank will not have a Rank in Class line printed on the Academic History.  (In PaC, the report would print "Rank 0 of 0" for students who were to be excluded from rank.)

 

If a GPA Type other than Cumulative is selected, a message will appear upon selection warning that it is best practice to calculate GPA based on Cumulative GPA and asks if they wish to continue. (In PaC this was displayed after the user selected Print.)

When the selection criteria for the report includes a grade level range, determining whether a class record should be selected has been modified so the system will now check the Transcript Grade Level Override field in the Student Class table and in the Course table.

Reason:

 

The selection process was checking the Transcript Grade Level Override field only in the Student Class table.  The change is being made in order to be consistent with revised processing of Transcript Grade Level Override data by Skyward.

Reason:

 

Question marks were printed for GPA credits earned in the Report Period and Cumulative Summary section for a specific reporting period if all of the following conditions were true:   (a) the grade records were historical; (b) there were fewer grade marks than would normally be expected (for example, only 2 grade marks for a trimester class); (c) one of the grade marks was non-passing (not earning GPA credits) while other grade marks were passing (earning GPA credits); and (d) no other grade marks for the reporting period were passing.  This combination of conditions resulted only in question marks being printed in the GPA credits earned column; all other data in the Report Period and Cumulative Summary section was accurate.

In some cases the value printed was incorrect.  This could occur, for instance, in a trimester school when the credit value for a course was 1.00; the GPA Credits Earned and GPA Credits Attempted values for the third semester were printed as 0.333 instead of 0.334.  This occurred even through the correct value of 0.334 was used in all GPA calculations.

Old version:  Total GPA points (5 decimal places) was divided by the total GPA credits attempted (5 decimal places), then rounded to 3 decimal places for printing.

New version:  Total GPA points value is rounded from 5 decimal places to 3 decimal places. Total GPA credits attempted value is rounded from 5 decimal places to 3 decimal places. Total GPA points value (3 decimal places) is divided by the total GPA credits attempted value (3 decimal places). The result is rounded to 3 decimal places for printing on the standardized transcript.

Reason:

So the GPA calculation for the academic history report is the same as Skyward’s GPA calculation for reports and screens.

  1. The changes were made to provide greater functionality and to assure that the Academic History screens are more similar to the screens for the Standardized Transcript.

    1. Adding Category - Low and Category - High allows users to further define the range by Category.

  2. In the Academic Record section, print a Course Designation code of "T" if the course is identified as either Tech Prep or Articulated Tech Prep.

  3. In the Report Period and Cumulative Summary Section, print GPA Credits Earned and GPA Credits Attempted as 99.999 instead of 99.99; print GPA Points as 999.999 instead of 999.99.

Reason:

  1. A Graduation Date was printed if there was a record for the student’s graduation year in the Graduation Year table (SM\CO\EC\GY).

  2. A Course Designation code of "T" was printed only if the course was identified as Tech Prep.

  3. This provides easier comparison of data on the Academic History report, the Standardized Transcript, and the Student Course\Grade History Records report.
