Initial Evaluation Timeline

Release:

Version 04.12.02.00.09, April 9, 2012 -  addendum release

Change:

Modify the program to use the old logic where it looks at the student’s entry/withdrawal record to determine the Calendar to use for counting the school days.

Reason:

The current logic which use the Special Ed school for determining the student’s Calendar causes incorrect reporting of some Kindergarten students.

Change:

Reason:

  1. To be consistent with the OSPI report form layout.

  2. Students who are not yet 3 years old as of June 30th are not being included in the report even when a valid initial evaluation record exists.

Change:

  1. The web version of the Initial Evaluation Timeline report has been modified as follows:

  1. Updated the text and wordings of the report’s summary section.

  2. The report will now only include Special Education students who were given permission during the reporting period (July 1- June 30). Previously, we are including students with permission given prior to the reporting period as long as the evaluation was completed after July 1. This change should correct defect #211007.

  3. The school day count should now start after the permission date. Currently, the report starts the count on the permission date. This change should address defect #211019.

  4. Modified the school day calculation by looking at the calendar of the student's default entity when the evaluation was completed. If no qualifying record is found, include the student in the exception report. This should correct defect #207202.

  5. Updated the detail section of the report by adding new column called 'Cal' which will display the student's calendar ID and update the footer message to say "Reason code is other than EXT, FAI, TRF, DIS or OTH, student will be counted under OTH."

  1. In Pac, the report is no longer available. The path still exists and when selected, an informational message will be displayed redirecting the user to run the report in web.

To meet the new OSPI requirements for the reporting year 2009-2010 and to correct reported defects.

Change:

  1. Include those students whose initial evaluation was completed after the reporting period. These students will be counted in row A.1. This group of students will be reported separately in the detail report.

  2. Add new row totals B.3.a and C.3.a for possible reasons of not meeting the 35 school day time due to parents repeatedly fails to produce the child for evaluation. This will always be zero for this reporting period until the new timeline reason is added to the system.

  3. If the student’s evaluation complete date is blank, the permission date must be within the reporting period otherwise do not include the student in the report.

Reason:

To meet the OSPI requirements for the 2007-2008 reporting period and to correct defect #52463.

Timeline Reason Codes

Change:

  1. A data manipulation is being run to copy data from SE-STU-EVAL.EVAL-CODE to SE-STU-EVAL.WA-TIMELINE-REASON.

  1. Log will show all Eval Codes that were bypassed  (i.e Eval codes <> "UNV," "PAR," "DIS," "EXT," "TRN," "REF," or "OTH").  The log file will be FTP’d to the district export folder with 7se11_set_reason_codes.r. as part of the filename.

  1. Initial Evaluation Timeline report will now use SE-STU-EVAL.WA-TIMELINE-REASON for reporting Reason Code.

Reason:

 

  1. Timeline Reason codes were temporarily being stored in the Eval code field.  The WA Timeline reason Code has been added to DB and the data needed to be moved to new permanent field.

  2. Reporting will now use new permanent field for Timeline Reason.

Release:

Change:

This new Special Education report is to be submitted annually by the school districts of students, ages 3-21, that were given permission by their parents to have their initial evaluation, and who have been evaluated and whose eligibility was determined and not determined within the 35 school day timeline.

Reason:

To fulfill one of the OSPI requirements as part of the State Performance Plan, Indicator 11.
