Vaccination Compliance Groups

Release:

Version 05.14.06.00.03, July 12, 2014 - addendum release

Change:

Updated the system to automatically place students into the CT1 Compliance Group for the PER Vaccination when appropriate..

Reason:

In some cases, the system was not automatically placing students into the CT1 Group for the PER Vaccination. In that case, users had to manually override the Compliance Group in order for the system to recognize the PER Vaccination as compliant.

Change:

  1. Updated the DT and PER requirements for the CT3 group:

  1. Removed the 4 month interval between dose 2 and 3.

  2. Changed the minimum age for dose 3 to 7 years.

  1. Linked vaccines DTaP and DTP to the TDAP vaccination

Reason:

  1. The requirement for this catch-up schedule is 6 months between doses 2 and 3.  Four months is not acceptable. Students must be 7 years old when they receive dose 3 on this catch-up schedule.

  2.  An inadvertent dose of DTaP or DTP given to students 7 or older can be counted as valid for the one-time Tdap because the DTaP and DTP vaccines contain the same component of pertussis as the Tdap vaccine.

These updates were made to the Vaccination Compliance Groups for the 2015 school year.

Change:

  1. Vaccination Compliance Groups rules updated to include 2014/15 Vaccination Requirements from the Department of Health for School Age Children:

a. Changed HEP requirement for Grade 7, STN group:

i. The minimum age for dose 3 = 168 days, 4 day grace period applies.

ii. The minimum interval between dose 1 and dose 3 = 112 days.

b. Updated POL requirement for Grade 3, STN group:

i. Dose 4 - Minimum Age = 126 days, High Dt = 8/6/09

ii. Dose 4 - Minimum Age = 4 years, Low Dt = 8/7/09

iii. Minimum interval between dose 3 & 4 = 28 days, High Dt = 8/6/09.

iv. Minimum interval between dose 3 & 4 = 6 months, Low Dt = 8/7/09.

c. Updated POL requirement for Grade 3, CT3 group:

i. Minimum interval between dose 2 & 3 = 28 days, High Dt = 8/6/09.

ii. Minimum interval between dose 2 & 3 = 6 months, Low Dt = 8/7/09.

d. Added requirement for 2 doses of varicella to Grade 6.

i. Minimum interval between dose 1 & 2 = 3 months, however, 28 days is acceptable.

2. Vaccination Compliance Groups rules updated to include 2014/15 Vaccination

    Requirements from the Department of Health for Preschool Children:

a. Changed HEP requirement for Ages M03 and M04, STN group:

i. Two doses are required.

ii. No minimum age for dose 1.

iii. Minimum age for dose 2 = 28 days.

iv. Minimum interval between dose 1 & 2 = 28 days.

b. Changed the DT requirement for Ages 4 - 6, CT4 group:

i. Minimum age for dose 4 = 4 years.

c. Changed the PER requirement for Ages 4 - 6, CT4 group:

i. Minimum age for dose 4 = 4 years.

3. A 4-day grace period is valid between doses of the same live virus vaccines such

as MMR/MMR, MMRV/MMRV, or MEA, MUM, RUB and VAR.  The 4-day grace period is not valid between dose 1 & 2 of different live virus vaccines if not given at the same time. For example; if a student gets an MMR vaccine, he/she must also get the VAR vaccine on the same day or wait a full 28 days.

  1. Updated as required by form "Vaccines Required for School Attendance, Grades K-12, July 1, 2014 - June 30, 2015" DOH 348-051 (Rev December, 2013).

  2. Updated as required by form "Vaccines Required for Child Care/Preschool Attendance, July 1, 2014- June 30, 2015" DOH 348-053 (Rev February, 2014).

  3. In some cases, students were being reported out of compliance when they had received the same live virus vaccines during the 4-day grace period.

Implementation Notes:

The 2014/15 Vaccination Compliance Group rules cannot be used with the Washington State Department of Health reports until the Year End process has been run on the district database.  However, the Skyward Vaccination Report can be used to identify students compliancy and create letters against the 2014/15 rules.  To run the report, navigate to Student Management/Office/HR/VA/ RE/VA.  In the Vaccination Ranges update the School Year to 2015.

Change:

Updated the Next Dose Due Date calculation for Hepatitis B (HBV) to use the interval between doses 1 and 3 when determining conditional status.  

Reason:

In some cases, the interval for conditional status and the Next Dose Due Date was incorrect because the system was using dose 2 to determine the Next Dose Due Date.

Change:

  1. Vaccination Compliance Groups rules updated to include 2013/14 Vaccination Requirements from the Department of Health:

    1. Added requirement for 1 dose of Tdap to Grade 12.

    2. Added requirement for 2 doses of varicella to Grade 5.

  2. Changed the HEP requirement for Grades 7 - 12:

    1. There is no longer a minimum interval between doses 1 and 3. The interval does still apply to grades K - 6.

      1. Minimum Age for Dose 2 = 28 days.

      2. Minimum Age for Dose 3 = 4 months.

      3. Minimum interval between dose 1 & 2 = 28 days.

      4. Minimum interval between dose 2 & 3 = 56 days.

  3. Changed the PCV requirement for the CT3 group:

    1. The minimum age for dose 1 is now 42 days.

Reason:

  1. Updated as required by form "Vaccines Required for School Attendance, Grades K-12, July 1, 2013 - June 30, 2014" DOH 348-051 (Rev January 2013).

  2. Changed per DOH so older students in grades 7 - 12 do not need to repeat dose 3 if they received this dose under a previous national recommendation that allowed dose 3 be given at 4 months of age.

  3. Per DOH, the previous minimum age requirement of 7 months for dose 1 is no longer valid.

Change:

Added a new time interval to the CT3 group for Vaccination Code "POL":

  1. Applies to grades K - 1.

  2. 28 days are required between dose 2 and 3 if dose 3 was given on or before 8/6/2009.

  3. Dose 3 must be given on or after the student’s 4th birthday.

Reason:

Previously, the CT3 group required 6 months between dose 2 and 3 instead of 28 days.  However, the requirement of 6 months is valid between dose 2 and 3 if dose 3 was given on or after 8/7/2009.

Release:

Version 05.12.06.00.18, October 3, 2012 - addendum release

Change:

  1. Added a new CT1 group to Vaccination Code "PER."

    1. Minimum age for dose is 7 years.

    2. Applies to grades K - 12.

    3. Added a new Compliance Group Rule; if no doses before 7 years of age, then use Compliance Group CT1.

  2. Updated the Required Ages for Vaccination Code "TDAP" to a minimum of 11 years of age.

Reason:

  1. Students who are age 7 or older and who have not received any DTaP/DT vaccines must get one dose of Tdap followed by 2 doses of Td.  These students were showing out of compliance for the PER Vaccination if they only had one dose of Tdap.

  2. Students in 6th grade who are younger than 11 years old are not required to receive the Tdap vaccination.

Version 04.12.02.00.10, April 18, 2012 - addendum release

Change:

  1. Vaccination Compliance Groups rules updated to include 2012\13 Vaccination Requirements from the Department of Health:

    1. Removed diptheria\tetanus requirement for grades 6 - 10 if it has been 5 years or more since the last DTaP, DT or Td vaccine.

    2. Students entering grades 6 - 11 must receive one dose of Tdap. Minimum age for Tdap is 7 years old.

    3. Updated polio based on a national recommendation as of 8\7\09 requiring the 4th dose be given on or after the 4th birthday. The following applies to grades K and 1, STN Group:

      1. 4 doses required if child received dose 4 after 8\7\09.  The minimum age for dose 4 is 4 years old.  Dose 3 and 4 must be separated by > 6 months.

      2. 4 doses acceptable before the 4th birthday IF child received all doses before 8\7\09.  The minimum age for dose 4 is 126 days.  Dose 3 and 4 must be separated by > 28 days.

    4. Updated polio for grades 2 - 12, STN Group:  

      1. 4 doses required.  The minimum age for dose 4 is 126 days.  Dose 3 and 4 must be separated by > 6 months; however, it is acceptable if dose 3 and 4 are separated by only > 28 days.

    5. Updated polio CT3 group for grade 1 to match grade K:

      1. 3 doses acceptable. Minimum age for dose 1 is 42 days. Minimum age for dose 2 is 70 days and at least 28 days after dose 1. Minimum age for dose 3 is 4 years and at least 6 months after dose 2.

    6. Updated polio CT3 group for grades 2 - 12:

      1. 3 doses acceptable. Minimum age for dose 1 is 42 days. Minimum age for dose 2 is 70 days and at least 28 days after dose 1. Minimum age for dose 3 is 4 years and at least 6 months after dose 2; however, it is acceptable if dose 2 and 3 are separated by only > 28 days.

    7. Added requirement for 2 doses of varicella to Grade 4.

  1. Added a new Vaccination Code "TDAP."

  2. An extra 30 days of conditional status is now applied to all vaccinations for a student that passes the next dose due date.

  3. Corrected Vaccinations DT and PER, group CT4 for all grades:

    1. Minimum age for dose 3 is 98 days and at least 28 days after dose 2.

Reason:

  1. Updated as required by form "Vaccines Required for School Attendance, Grades K-12, July 1, 2012 - June 30, 2013" DOH 348-051 (Rev March 2012).

  2. To track the new requirement for students entering grades 6 - 11 who must have one dose of Tdap.

  3. Update as required by WAC 246-105-020.

  4. The minimum interval between dose 2 and 3 was incorrectly calculating at 4 months.
