2 Creating the Leave Sale Report & Processing a Leave Sale

Time Off Codes Maintenance:

  1. Click HUMAN RESOURCES.

  2. Click TIME OFF.

  3. Click CODES.

  1. Click T.O Codes.

  2. Select the desired Time Off Code or create a new one.

  3. Click the EDIT button. This opens the Human Resources: Timeoff Code Maintenance screen:

    1. Group Code: Select the desired Group Code description or click GROUP CODE.

    2. Unit Type: Select either "Hours" or "Days".

    3. Allow Negative Balance: The default value is "No". (An employee with a negative leave balance would not be eligible for a leave sale.)

    4. Sale Min. Bal. Hours: Enter the minimum required balance for the leave sale.

    5. Sale Ratio: Enter the number of units to be sold to receive one unit of pay.

    6. Click OK to accept your changes. (Click CANCEL to exit.)

Before processing a leave sale, enter the following criteria for the selected Group Code:

  1. Click HUMAN RESOURCES.

  2. Click TIME OFF.

  3. Click REPORTING.

 

  1. Click HUMAN RESOURCES.

  2. Click PROFILE to open the Employee Profile Master screen.

  3. Click theReports icon at the upper left of the screen.

  1. Click Leave Sale Report under Time Off. Either double-click your selection, or follow it by clicking RUN. This opens the Current Selection Parameters screen:

  2. Click OK to accept all of the settings in this parameters screen. Changes may also be made to any of the following parameters:

    1. Change Code Type Settings

      Select the Code Type:

        1. All: the default setting

        2. Select: Select specific codes:

          1. Select Available Codes.

          2. Click ADD or ADD ALL to move codes into Selected Codes category. (REMOVE or REM. ALL removes selections.)

          3. Click OK to save settings or CANCEL to exit this screen.

    2. Inactive Profiles: The default setting is Included. You may instead select Excluded or Processed Alone.

    3. Optional selections

      • Click OPTIONS to set optional report options:

        • Report: Create a report of selected parameters.

        • Clone Parameter Sets: with the option to apply the settings to individual employees.

        • Where Used: shows any reports using the selected parameters. Changing these parameters will affect each report listed.

      • Click SAVE to save parameter sets for future use.

      • Click LOAD to load an existing parameter set.

      • Click RESET to return all parameters to default values.

      • Click CLOSE to exit this screen.

  3. Clicking OK after making parameters changes opens the Leave Sale Report Parameters screen:

    1. Report Only Buyback Eligible Employees: Check this to report only those employees with the required minimum leave balance to qualify for a sale. (Leaving it unchecked will show all employees with leave balances, including those not qualified for a sale.)

    2. Report Year: Select a year or use the default value. (The default report year displays the previous calendar year if the report is run in January - September and displays the current calendar year if run in October through December. For example, a report run in August 2005 has a default year of 2004; a report run in October 2005 has a default year of 2005.)

    3. : Click this to export data to an Excel spreadsheet. This saves time if the data is needed for a mail merge or other reasons.

    4. PRINT: Click this to print a report of your selections (or RESET to reset the default values, or CLOSE to exit.)

  4. Clicking PRINT after making parameters changes opens the Human Resources: Output Destination screen:

    1. Select an Output and Printer from the listed options.

    2. Click OK to create the report.
