Use codes to establish defaults for use during processing in many areas of the Financial Management system. In some cases, use and maintenance of the same codes is available in the Human Resources system.
Bank Names identify the banks that a district uses. This includes the name and address of the bank, the bank's phone number and Payroll ACH information (currently used in HR only).
Bank Names are entered for every bank that your district uses. For Washington, your county treasurer is also entered as a bank.
When you open an account with a new bank, you need to enter the new bank’s information.
Menu Path: Financial Mngmnt / SEtup / COdes
On the Codes screen, highlight Account Management, then under Options, Bank Names.
Click the Run button. The Bank Names List screen opens.
Click the Add button. The Name Maintenance screen opens.
Enter the Name of the bank.
If other names exist with a name key that already exists, the Option to Select an Existing Name screen opens.
Click Yes to view the list.
The Name List screen opens.
From the Names list, verify that the Bank you are entering does not already exist.
If it is not listed, click the Close button.
If the name of the Bank exists but is not "Used as" a Bank, highlight the name and click the Select button.
The system generates the Name Key.
Enter a Contact person if you have one or you may leave this field blank.
Enter the bank’s address information in the Address Extended Information fields.
NOTE: At this time, the ACH and Routing Number information is not used in Accounts Payable.
If the Bank has a different mailing address, such as PO Box, click the Mail Addr button.
The Mailing Address Entry screen opens.
Enter the address in the corresponding fields.
Click the OK button to return to the Name Maintenance screen.
Click the OK button to return to the Bank Names List. The new bank is highlighted on the list.
You can update a Bank name if the information about the bank has changed including the bank’s name.

On the Codes screen, highlight Account Management, then under Options, Bank Names.
Click the Run button. The Bank Names List screen opens.
From the Available Banks list, highlight the Bank Name you want to change.
NOTE: You can change the manner in which the bank information displays by selecting one of the following:
Name Key – displays the list of banks in Name key order
Routing Number – displays the list of banks in Routing Number order.
You can also use the Bank Name Key/Routing Number lookup field to find the bank you want to change. The lookup field label changes depending upon which display you have selected.
Click the Edit button. The Name Maintenance screen opens.
Update the information that needs to be changed.
Click the OK button.
Occasionally it may be necessary to delete a bank’s name record. However, you cannot delete a bank if it is in use.

On the Codes screen, highlight Account Management, then under Options, Bank Names.
Click the Run button. The Bank Names List screen opens.
From the Available Banks list, highlight the Bank Name to delete.
Click the Delete button.
An Information screen opens asking if you are sure you want to delete the bank name from the Bank list.
Click the Yes button.
Click the Close button.
NOTE: A Bank cannot be deleted if it is being used.
You can run a report of bank names. The Name Report For Banks includes the bank’s Name Key, Name, Primary Phone number, Address and Routing Number.

On the Codes screen, highlight Account Management, then under Options, Bank Names.
Click the Run button. The Bank Names List screen opens.
Click the Report button. The Name Report for Selected Name Category screen opens.
As needed, enter a low and high Name Key range. Banks within this range are included on the report provided they meet the other selection criteria.
As needed, enter a low and high Primary Area Code range. Banks within this range are included on the report provided they meet the other selection criteria.
As needed, enter a low and high Zip Code range. Banks within this range are included on the report provided they meet the other selection criteria.
As needed, enter a low and high Township range. Banks within this range are included on the report provided they meet the other selection criteria.
As needed, enter a low and high Street range. Banks within this range are included on the report provided they meet the other selection criteria.
Click the Print button. The Output Destination screen opens.
The system prompts you to select a print option. You can choose to print the reports to screen, to a printer, or to save the report for later viewing.
Click the OK button to generate the Name Report For Bank report.
Click the Close button to return to the Bank Names List.
Click the Close button to return to the Code screen.
