Invoice Ranges allow you to customize the screen display of your Accounts Payable invoices. Ranges can also be used to quickly find an invoice, based on a specific parameter. Each user can create and save their own ranges.
Menu Path: Financial Mngmnt / A/P / Invoices
On the Invoice Entry screen, click the Ranges button. The Invoice Ranges screen opens.
Using the Sequence drop down list you can set the display sequence of the invoices on the Invoice Entry screen. This sort takes a long time to build.
Purchase Order Number &endash; sorts the list of invoices by purchase order number in ascending order. Invoices that did not reference a purchase order are listed at the top.
Vendor &endash; sorts the list of invoices by Vendor key in ascending alphabetical order.
Date Entered &endash; sorts the list of invoices by date entered in ascending order.
Using the Reposition drop down list you can determine which invoice is highlighted when accessing the Invoice Entry screen each time.
Set to First; the first invoice at the top of the screen is highlighted.
Set to Last; the invoice at the bottom of the screen is highlighted.
From the Invoice Type(s) frame, click the check box next to the invoice type(s) you want to display on the Invoices list. The invoice type refers to the status on the invoice.
Batch &endash; An invoice that has not been updated to the accounting master.
Open &endash; An invoice that has been updated but not paid.
History &endash; An invoice that has been paid and the payment has been updated.
Reversal &endash; An invoice that is created when the original Open status invoice has been modified.
From the Check Type(s) frame, click in the check box next to each check type you want to display on the Invoices list.
Regular &endash; a system generated check that is produced from an invoice. The invoice is selected based on its due date.
Manual &endash; a record of a check written manually or for a corrective history entry that does not produce a check.
Single &endash; this invoice processes separately from any other invoices processed in the same check run and produces a separate check specific for its payment.
Pay &endash; the system pays the invoice on the next check run regardless of the due date.
Hold &endash; The invoice will not be paid until the type is changed to another type. User directed, the system creates an invoice and holds this invoice open until you wish to change it to one of the other check types available.
Void &endash; a previously issued check or a physically ruined check has been voided.
NOTE: If you select All, the other selections are unchecked.
To further restrict the invoices displayed, enter ranges for the following:
Enter a low and high Purchase Order #. Invoices generated from purchase orders that fall within this range display, provided they meet the other selection criteria.
Enter a low and high Invoice Number. Invoices within this range display, provided they meet the other selection criteria.
Enter a low and high Vendor Key. Invoices containing this vendor key range display, provided they meet the other selection criteria.
Enter a low and high Batch Number. Invoices containing this batch number range display, provided they meet the other selection criteria.
Enter a low and high Bank Code. Invoices containing this bank code range display, provided they meet the other selection criteria.
Enter a low and high Invoice Date. Invoices containing this invoice date range display, provided they meet the other selection criteria.
Enter a low and high Entered By range. Invoices entered by the entered by range display, provided they meet the other selection criteria.
Enter a low and high Entered Date range. Invoices entered within this date range display, provided they meet the other selection criteria.
Enter a low and high Invoice Amount range. Invoices within this amount range display, provided they meet the other selection criteria.
Check the All Years check box to display invoices from all fiscal years.
To select a specific year, uncheck the All Years check box. The Fiscal Year Selection screen opens.
From the Fiscal Years list, highlight a fiscal year.
Click the Select button.
Click the OK button to return to the Invoice entry screen. Invoices matching the criteria set display in the Invoices list.
When you have updated the values on the Invoice Ranges screen, you can use the same settings another time, or set them as your default settings, by using the # Save.

On the Invoice Entry screen, click the Ranges button. The Invoice Ranges screen opens.
Set the Invoice Ranges screen as needed.
Click the # Save button. The Save Report Parameters screen opens.
In the Save Ranges As frame, in the Report Description field, enter a description (30 characters) to use for the saved parameters. This might be a summary of the settings, your name or location, etc.
To save the selections as your default settings, click in the Set as default parameters check box. If you check this box the Ranges settings will be used every time you access the Invoice Entry screen. If these settings are not always used, do not check this field.
If you have previously saved ranges, a list of the saved parameters displays in the Previously Saved Ranges list.
Click the OK button.
If you have previously saved settings for use on the Invoice Ranges screen, you can use the settings another time by using the Load function. You may also select another user's saved settings.

On the Invoice Entry screen, click the Ranges button. The Invoice Ranges screen opens.
Click the ALoad button. The Report List screen opens.
From the Report List, highlight the report description you want to use. This is a listing of saved ranges.
If you click on Reports for current user only, range settings you have saved display.
If you click on All reports, all saved range settings display regardless of user.
Once you have highlighted the report, click the Select button. This loads the saved settings to the Invoice Ranges screen.

If you have changed settings on the Invoice Ranges screen, you may restore the settings to the system’s default settings.
On the Invoice Ranges screen, click the Reset button.
Click the OK button to return to the Invoice Ranges screen.
!! WARNING !!: The Reset button sets the ranges WIDE OPEN. No Invoice Type or Check Type is selected. If you click OK, without selecting an Invoice Type or Check Type, no invoices display in the Invoices list.
If you exit the Accounts Payable module and re-enter, the ranges are set back to their system defaults.
