Secure the Process
Strict security measures should be used to keep the mass process menu options available to a very limited number of people.
Understand the Process
The people that have the security access to do the mass process need to be very sure of the changes.
Review the exception report for errors and warnings and take appropriate actions.
Carefully review the verification report to make sure the intended change is actually going to be done. If something looks wrong, then cancel out of the process and start over.
Sample the Process First to Learn
Try out the mass process fist by using one or two people that need retirement member profile changes. This will help show how the process works and will help provide understanding without the risk of mass changing several people at first.
Know the status of the retirement member profile records for the one or two sample people. A screen print could be used to see the before look on the sample people.
Run the mass process for the one or two sample people. Review the reports to verify what you think is being changed is what you want to change.
Review the retirement member profile records for the one or two sample people after the mass process is done. A screen print could be used to see the after look on the sample people.
Audit the Process
When the "Print title page" option box is checked, a page will print that lists all the options that were selected for the process. This is a good tool to use and keep because it is an audit trail plus it could be used if the process needed to be reversed.
After the mass process has finished, it is a good idea to spot check retirement profile records to verify the intended change is as expected. You would not need to do this all the time, but it would be good when first learning how to do the mass process.
Mass Process Based on System and Plan
The mass add or mass edit process will update records based on the retirement system and plan selected in the parameters screen.
Eligibility End Date Reset to Blank
Retirement profile records without an Eligibility End Date can be considered the active profile. Only one active profile is allowed for a given system and plan.
Resetting the Eligibility End Date to blank can create the potential for more than one active profile. The system has an edit check for this and will provide an error message on the exception report.
