Monthly Special Education Enrollment Report (P223H)

Release:

Version 05.14.02.00.03, March 8, 2014 - standard release

Change:

Remove the display of asterisk ('*') from the Next Eval date.

Reason:

Asterisk should only display if the evaluation record is marked as "WIP"  (work in progress) and should appear next to the evaluation completion date.

Change:

The P223H Monthly Special Education Enrollment logic has been modified so a student's P-Age is calculated correctly if the student's birth date is after August 31 of the current school year.

Reason:

Students with a birth date of September 1, 2013 or later were incorrectly calculated with a P-Age of "-1" and were thus excluded from the Headcount of Individual Students for Age 0-2.

Change:

Reason:

If the report was run with an effective date in January 2014 some students were erroneously determined to have a P-Age of 2 instead of 3.

Reason:

Change:

The P223H Monthly Special Education Enrollment process has been modified with regard to students who turn age 3 during the school year.  Such students are now counted in the Age 3-5 column instead of the Age 0-2 column if the effective date of the report is on or after the date of a student’s 3rd birthday.

Reason:

OSPI requirement.

Change:

The P223H Monthly Special Education IEP Exceptions report has been corrected so it now displays an asterisk if the IEP is flagged as Work in Progress.

The asterisk was not being printed if the IEP was WIP.

Change:

Columns for Student Alphakey and/or Student ID have been added to the P223H reports:

  • Student ID has been added to the Enrollment Detail report and the Potential Data Discrepancy report.

Reason:

To make it easier to identify students when using the reports.

Feature:

P223H Monthly Special Education Enrollment Report

Change:

An option has been added to print the P223H Status Exceptions report without students who have been withdrawn from Basic Education.

Reason:

This will assist school districts that choose not to exit students from Special Education when the students are withdrawn from Basic Education.  If the option is selected, the P223H Status Exceptions report still lists students if they have an entry date after the Effective Date or are older than 20 years of age as of August 31 of the current school year.

 

Whether or not the option is selected, students are still excluded from the P223H enrollment count if they do not have a qualifying Entry/Withdrawal record in Basic Education for the Effective Date, or are older than 20 years of age as of August 31 of the current school year.

Change:

Reason:

If the Grade value in the Grad Yr\Grade cross reference table (PS\CA\ST\CF) does not start with "P," the student is being counted in the "Kindergarten to Age 21" column instead.

Reason:

  1. All Items in the Student Washington Feature Set are to be available in Web Access.

  2. Student was being counted in the Age 3-5 Not Yet Enrolled in Kindergarten when he should be included in the Kindergarten to Age 21 count instead. This address footprints ticket #212320

  • Create a new report, Potential Data Discrepancy Report,  that will list students with IEP begin date >  effective date and not marked as status exception

  • Added report parameter options for the Entity and School selection

Reason:

To correct the following defects:

  • Students who are evaluated and determined not eligible to receive Special Education services are being reported as status exception (F203608)

  • Students are being reported with IEP exceptions even though they have qualifying IEP based on the selection criteria. (F205837)

  • Students with future E\W dates are being reported with status exceptions (F202351)

  • Students that are serving time in a Detention Center should not be included in the count on the District P223H. They need to be reported separately by the Detention Center on E-672 as stated in WAC 392-121-136(5)  (F202496)

  1. Updated the Summary Report to group students by 0 - 2, 3-5 not yet enrolled in Kindergarten, and 5-21.

  3. Modified the file sent to OSPI to include the new field for new grouping age 3 - 5 not yet in enrolled in Kindergarten.

  4. Modified the FTP process so the file is sent directly to the OSPI server for EDS.
