State Student Identifier Data (SSID) Extract

SSID Extract Utility

Change:

Modify the Export Students without State ID program to include all students with blank SSIDs that have not withdrawn in the last two months.

Reason:

OSPI has approved future dated enrollments in the CEDARS extract process for the purpose of obtaining SSID's. The Export Students without State ID utility allows districts to obtain SSID's on a more frequent basis than CEDARS (which is a weekly extract only).

However, the utility only includes student with blank SSID when the student's enrollment date is not greater than the current month.

Change:

  1. The SSID Export and Import are now available in Web Access.

  2. In the Web the extract file for OSPI is no longer saved to the district’s export directory.

Reason:

  1. All Items in the Student Washington Feature Set are to be available in Web Access.

  2. In the Web there is an option to view and save extract files directly from the "View\Save Locally for State Transfer" option.

Change:

Corrected an issue where students were excluded from the report.

Reason:

The system was incorrectly excluding students from reports if: 1. The All School checkbox was deselected and 2. The district had School Codes with less than three characters.

As the SSID Extract file now contains the date and time the extract file is run, it will be important to monitor the disk space if old files are not deleted.

  1. Added three data elements to the extract file and report:  Most Recent District Enrollment Date, Serving School Code (OSPI Building Number) and Most Recent School Enrollment Date.

  2. Added Birth Date to the selection criteria and modified the format of that data element on the extract file from MMDDYYYY to MM\DD\YYYY.

New requirements from OSPI for the 2004-2005 school year.

  1. Add the ability to select Detail Report and\or Exception Report as print options from the selection screen.

  2. Add an Exception Report to display students with a birth date that is more than 23 years in the past, or that is greater than today.

  3. Modify the Report Summary to include a total count of the students on the Exception Report.

Reason:

Provide an exception report as a method to correct student data issues before data is submitted to OSPI.

Change:

  1. Changed the extract file extension from .EXT to .TXT.

  2. Modified the selection criteria to include students who became inactive in the current or prior month and who do not have an SSID.

Reason:

  1. OSPI requires a file with a .txt extension.

  2. This will make the SSID selection criteria fit with the selection criteria for the monthly extract file.

Change:

This is a new report that provides school districts with the ability to create an extract file to send to OSPI in order to obtain secure student identifiers.

Reason:

As part of the Core Student Record System, OSPI requires that each student have a secure, unique identifier. OSPI further requires that all school districts submit an initial file requesting SSIDs via the CSRS web site by the end of April 2003.
