Special Education Transportation Needs and Assessment Participation

Change:

If there is data to display, the Special Transportation Needs and Assessment Participation buttons will now display with an asterisk ("*").

Reason:

There is currently no indication that Special Transportation Needs and Assessment data exists.

Feature:

Transition Reason

Change:

  1. The Transition Reason field is now being saved to a permanent field in the student evaluation table, se-stu-eval.wa-transition-reason.

  2. An autoload program will run during the final process of the database load that will move the student’s Transition from the temporary field to the new field.

  3. Another  autoload program will run during the final process of the database load that will move the Reason Codes list (Transition Reason codes and Timeline Reason codes) from the temporary table to the new table, Wa001SysSeEvalReason.

Reason:

The student’s Transition Reason and the Reason Codes list are currently being saved in a temporary field and table.

Implementation Notes:

The Transition From Part-C to Part-B report is yet to be updated to use the new transition reason field. The correction is targeted for the September ’09 standard release.

Special Transportation Needs

Change:

The display of the Special Transportation Needs notation on the Student General Information screen has been corrected regardless of the Transported value.

Reason:

The Special Transportation Needs text will only display if the Transported field is equal to "Yes."

Feature:

Timeline Reason and Transition Reason

Change:

The Timeline Reason Codes list and Transition Reason Codes list has been updated with new reason code, "TRF." This reason code is used if a student transfers in from another district after the consent is obtained and the evaluation has begun but not yet completed by the sending school.

Reason:

This is a new reason code that will be used for the 2008-2009 annual reporting.

Special Education Mass Change Utility

Change:

Added a new utility to the web which provides the ability to mass change the following fields within Special Ed:  Case Manager, IEP Manager, LRE Code, Disability Code, Evaluation Type, Status of Evaluation, Exit Code and Timeline Reason Code.

Addition to the Washington Feature Set

Feature:

Special Transportation Needs

Change:

The Special Transportation Needs notation on the Student Browse of the Web access is now available. This information can be found in the following sections, General Information and Busing. In the General Information, the ***Special Transportation Needs***  text displays in red if a student has a current special transportation needs record. In the Busing section, the Special Transportation Needs records will be listed, if available.

Reason:

To identify the student’s specialized transportation needs from the main Student screen.

Timeline Reason Codes

Change:

If the number of school days between the Permission Date and Eval Compl date > 35, the alert message should display only if the Type of Evaluation = "Evaluation"

Reason:

Currently, the message displays even if the Type of Evaluation is "Reevaluation" or "Transfer."

Feature:

IEP Expiring Report

Change:

Modify the Special Education IEP Expiring report to display the student’s default entity.

Reason:

This allows the district to break up the list of expiring IEPs by Attendance Entity for easier notification and management.

Maintain Student Placements

Change:

The Mass Placement Update utility is now available in Web Access and it is now called Maintain Student Placements.

Reason:

All Items in the Student Washington Feature Set are to be available in Web Access.

Implementation Notes:

This utility will have the combined functionality of the Maintain Program Update Table and Mass Placement Update.

Feature:

Special Transportation Needs

Change:

The Special Transportation Needs feature of the Special Education module is now available in Web Access.

Reason:

The district users want the ability in the Special Education module to identify and document the student’s specialized transportation needs.  This information is part of the student’s IEP and would be linked to each IEP record as their needs could change from year to year.

Auto-Emailing Setup

Change:

  1. Recipients of auto-email created in Entity 000, where Event Setup = "Enrollment Changes" and Event Trigger = "Student Entered and Spec Ed Records Exist," should be receiving email and alerts accordingly.

  2. IEP Managers and Case Managers should now be receiving email notifications if they have been setup as recipients.

Reason:

To fix issues relating to PCS SE106 (Returning Spec Ed student alert) and footprints #205237.

Type of Evaluation

Change:

An auto-load program is created that will populate the Type of Evaluation (se-stu-eval.eval-type) if it is blank with a value of "Evaluation."

Reason:

To fix the issue with Evaluation Summary Report (PCS SE113) where the Evaluation Type do not always display with value.

Feature:

Special Education Evaluation

Change:

A new check box field has been added to the Special Education Eval Info tab and Gen Info screen. The field is labeled IDEA Part-C which identifies if the evaluation is for Part-C service or not.

 

This field is sensitized if the Evaluation Complete Date is blank or less than the students 3rd birthday. Once checked, it will always be sensitized.

Reason:

Required for the Transition from Part-C to Part-B report.

Feature:

 Mass Placement Update Utility

Change:

  1. A new utility in Special Education that would allow users to mass process students within a specific program\service.

  1. This utility is similar to the existing Maintain Program Update Table utility but will allow users more flexibility in terms of choosing the new Placement Begin Date, selecting specific students to process, and deleting or correcting current placement records.

Reason:

 

  1. Having this mass update utility in place will assist users in processing changes to Special Education records in a timely and more efficient manner by adding flexibility that is not available in current utility.
