Change:

A message is displayed when Earned Credits or GPA Credits is changed on a prior year course.  That message advises that the changes will impact student class history records.

Reason:

To provide information about the potential impact on historical Transcript data when such changes are made.

Change:

In the Additional State Requirements section of the transcript:

  1. If a student’s Graduation Requirements Base Year is 2015 or later, there will no longer be a line for Culminating Project.

  2. If a student has an educational milestone with Type = Math2 and Date Completed is not blank, the student will be identified as having met the Math requirement.

Reason:

  1. OSPI requirement based on SB 6552.

  2. There was defect and students with an educational milestone with Type = Math2 and Date Completed not blank were not identified as having met the Math requirement.

Change:

A correction was made in the Report Period and Cumulative Summary section so the printed total of GPA Credits Attempted is correct for each grading period.

Reason:

The total printed for GPA Credits Attempted for a grading period was incorrect if there was a current year class for Semester 1 with a grade mark of F, and if there were no Semester 2 grade marks, and if the report was run prior to the grading period end date for Semester 1.  This was a display defect only.  The student’s Cumulative GPA Credits Attempted and Cumulative GPA were correct.

Change:

Changes were made in the Additional State Requirements section.

  1. Math:  If a student’s graduation requirements base year is 2013 or later, and if the student has a passing score on the TSPED Math assessment, the student is identified as having passed the Math requirement.  If the student’s graduation requirements base year is 2013 or 2014, and if the student also has passing scores for Reading and Writing, the student is identified as having earned a Certificate of Individual Achievement.

  2. Science:  If a student’s graduation requirements base year is 2015 or later, and if the student has a passing score on the TSPED Science assessment, the student is identified as having passed the Science requirement.  If the student also has passing scores for Reading, Writing, and Math, the student is identified as having earned a Certificate of Individual Achievement.

There was a defect and the students were not identified as having met the Math/Science requirement.

Change:

The transcript logic has been modified for the Additional State Requirements section.  Students with a graduation requirements base year of 2015 or later (a) no longer have to meet a Mathematics Year 2 requirement, and (b) have to meet only one Mathematics requirement to earn a Certificate of Academic Achievement or Certificate of Individual Achievement.

Change:

If a class has an Advanced Placement or International Baccalaureate code, the course description printed on the standardized transcript is now the official description published in Addendum Q of the CEDARS Data Manual Appendices.  The Appendix contains an abbreviated description and a long description.

 

The District Configuration screen for Federal/State reporting has been updated to include printing options.  First, there is an option to print either the abbreviated official description (the default) or the long official description.  Second, there is an option to print the District’s short description.  If the option is selected (the default), there are options to print it before the official description (the default) or after the official description.  If the District’s description is printed, the official description is in brackets.

 

If additional space is needed in the course description column, the description is continued on subsequent lines which contain only the description and no other data such as state course code, district course code, etc.

Change:

Corrections to defects when the grade mark is "W."

Reason:

  1. Sometimes the values for Credits Earned, GPA Credits Attempted and GPA Credits Earned were wrong when there was a "W" grade mark for a grading period of a Year class and the student's Grade History record had been converted to Historical prior to the end of the grading period.  This impacted the standardized high school transcript, the academic history report, the WA GPA tab in Student Profile and the CEDARS submission.

  2. Sometimes the value for Credits Attempted was wrong if there was a "W" grade mark, and if the Grading Setup for Grade Marks had "Use in Earned" = Yes for "W."  This impacted the standardized high school transcript, the academic history report, the WA GPA tab in Student Profile and the CEDARS submission.

Change:

Changes have been made in Educator Access Plus when educational milestones are updated from My Classes.  When Mark All with Date Completed, or Mark All As Waived, is selected, the School Year can also be updated.  Additionally, if a student has dropped a class, that is identified on the screens with the educational milestones for a class.

To provide data entry efficiency for situations where student educational milestones have School Year = 0000 and to provide information about students who have dropped a class.

Change:

Student educational milestones can now be updated in Educator Access Plus if:  (1) a new flag in the district educational milestones table = Yes for a milestone, and (2) the user has appropriate permission within Security.  The educational milestones can be updated for individual students or for an entire class.  Either a Date Completed or a Waived status can be entered.

Reason:

To provide more flexibility regarding educational milestones so the teachers who determine whether a milestone has been met or waived can enter that information.

Feature:

Standardized High School Transcript - THSPE Test Name

Change:

A data manipulation was run on all school districts so the value in the Edition field for the THSPE Test ID is "THSP"

Reason:

In many districts, the value in the Edition field was "THSPE" which exceeds the limit of four characters when creating a District Student Assessment using THSPE.

Change:

When determining whether a student has earned a Certificate of Individual Achievement, the transcript logic now reviews a student’s results for Special Education assessments as well as non-Special Education assessments.

A student earns a CIA if standards are met on a combination of Special Education and non-Special Education assessments.

Change:

  1. The transcript logic has been changed to print a status of Waived if that option has been checked on a student’s educational milestone for Washington State History.

  2. If a Current grade record has a "W" grade mark and has variable earned credits, the values for earned credits, attempted credits, GPA earned credits and GPA attempted credits will print correctly.

  3. On student educational milestone screens, if the educational milestone is for the High School and Beyond Plan or the Culminating Project, the Waived check box cannot be checked.

  4. The Additional District Requirement field associated with a district educational milestone has been added to Data Mining.

  5. The Transcript Format Override flag has been added to Data Mining.

  1. OSPI now allows a Waived status for Washington State History on the high school transcript.

  2. To correct a defect that sometimes occurred when a Current grade record with a "W" grade mark had variable earned credits.

  3. OSPI rules do not allow a Waived status on the high school transcript for the High School and Beyond Plan or the Culminating Project.

Change:

The screen for adding Guardian1 for a Family was corrected to save the Print on Transcript option if it is selected.

Reason:

When a new student was added, if the Print on Transcript option was selected on the screen for Guardian1 the option was not saved.  This could result in Parent\Guardian information not being printed on the standardized transcript.

Change:

The following changes were made for all transcripts.

  1. Header: The student’s Graduation Requirements Year has been added.

  2. Course Designation Key: Additions have been made for L (Local Competency Test), N (National Competency Test), Q (Quantitative) and S (Science Lab).

  3. Course Designation Column: Logic has been updated to recognize the new course designations of L, N, Q and S.  Additionally, those fields have been added to screens:  Course Master Maintenance, Course Master Browse, Scheduling Maintenance and Grade History Maintenance.  The fields have also been added for a User-Defined Course Report by Course and a User-Defined Course Report by Section.

  4. Additional State Requirements - Reading: Logic has been updated to recognize the results for TSPED reading.

  5. Additional State Requirements - Writing: Logic has been updated to recognize the results for TSPED writing.

  6. Additional State Requirements - Math when Graduation Requirements Base Year = 2008-2014:  Logic has been updated to recognize the results for TSPED math, TSPM1 and TSPM2.

  7. Additional State Requirements - Math Year 1 when Graduation Requirements Base Year = 2015 or later: Logic has been updated to recognize the results for TSPM1.

  8. Additional State Requirements - Math Year 2 when Graduation Requirements Base Year = 2015 or later: Logic has been updated to recognize the results for TSPM2.  Additionally, a data manipulation has been run to add a new record to each district’s educational milestones table.  The new record is for Mathematics Year 2, with a Type value of Math2.

  9. Additional State Requirements - Science: Logic has been added to recognize the results for TSPS1.

  10. Additional State Requirements - CIA: Logic has been added to recognize the results for TSPED reading, writing, math and science, as well as for TSPM1, TSPM2 and TSPS1.

The following changes were made for transcripts printed for students enrolled in high school in the 2012-2013 school year or later.

  1. State Course Code:  Column added to the transcript.

  2. Additional State Requirements - Washington State History:  Logic has been added to recognize the data in a student’s educational milestone with Type = WAHst.

  3. Additional District Requirements:  New, optional section has been added.  The section is printed for a student if the student has one or more educational milestones that are identified as an additional district requirement.  Also, the ability to flag an educational milestone as an additional district requirement was added to the Educational Milestones Maintenance screen.

Reason:

Changes were made (a) to support OSPI requirements for the 2012-2013 school year and (b) to recognize test results for Special Education Students when determining whether standards have been met for reading, writing, math and science, as well as when determining whether a Certificate of Individual Achievement has been earned.

Change:

A data manipulation will be run to add test names to appropriate tables and to create the crosswalks for importing the Special Education test result that identifies whether a student met a standard.  Test names to be added:

  • TSPED = Transcript Special Education for Test Types HSPB, PORT, DAPE

  • TSPM1 = Transcript Special Education for End of Course Math Year 1

  • TSPM2 = Transcript Special Education for End of Course Math Year 2

  • TSPS1 = Transcript Special Education for End of Course Science Year 1

Reason:

This provides the ability for school districts to import test data for Special Education students and is in preparation for modifications to the Standardized Transcript which will be in a future release.  At that time the transcript logic will recognize the TSPXX data for determining whether a student has met standards for Reading, Writing, Math and Science and for earning a Certificate of Individual Achievement.  Note:  The TSPED, TSPM1, TSPSP and TECS1 setups are similar to those already in place for THSPE, TECM1, TECM2 and TECS1.

Release:

Change:

GPA on the WA GPA screen in Student Profile now matches the GPA on the Washington standardized transcript.

Reason:

The GPA on the WA GPA screen was sometimes different by 0.001 from the GPA on the transcript.  This was caused by a rounding error on the WA GPA screen that has been corrected.

Change:

A new educational milestones Type value of WAHst is being added to the educational milestones system table.  Additionally, a data manipulation is being run to add a new record to each district’s educational milestones table.  The new record is for Washington State History.

Reason:

This is done in anticipation of using student educational milestones to identify on the high school transcript whether a student has met the requirement concerning Washington State History.  This change to the transcript is required by OSPI for the 2012-2013 school year.

Implementation Note:

If a district already has an educational milestone with Code = WAHst or WA Hst, a record will not be added to the table by the data manipulation.  After the addendum release, the district can edit that existing record by selecting the new WAHst Type value.

Run the Mass Add\Delete Educational Milestones utility (Student Management\Office\CA\EM\Setup\UT\AD) to add the WAHst educational milestone to appropriate students.

Change:

  1. The Credits Attempted value for a historical class is now correct.

  2. The Credits Earned value for a current class is now correct.

Reason:

  1. The Credits Attempted value was incorrect if:  (a) the class was historical, and (b) the grade mark = W, and (c) the course had multiple credit-earning grade buckets (typically "Year"), and (d) at least one credit-earning grade bucket contained a W grade mark and the other credit-earning grade bucket(s) were empty.  The Credits Attempted printed was the value for the entire course length and was not being divided by the total number of credit-earning grade buckets.  This lead to errors in the Report Period and  Cumulative Summary section.  Credits Attempted for the Grading Period and for the Cumulative data were incorrect.

  2. The Credits Earned value was incorrect if: (a) the class was current, and (b) the course had multiple credit-earning grade buckets (typically "Year"), and (c) all credit-earning grade buckets contained grade marks where one grade mark was W and the other grade mark(s) were not W.  The Credits Earned value for the non-W grade mark was incorrect.  This lead to errors in the Report Period and Cumulative Summary section for the Grading Period and for the Cumulative data.  Values were incorrect for Credits Earned, GPA Credits Earned, GPA Credits Attempted, GPA Points, and GPA.

Change:

  1. Additional State Requirements - Student Graduation Requirements Base Year = 2013 and 2014:  End of Course Math results (Test Names = TECM1 and TECM2) are now used to determine whether a student has met the Math requirement and whether a student has earned a Certificate of Academic Achievement.

  2. Additional State Requirements - Student Graduation Requirements Base Year = 2015 or greater:  End of Course Math results (Test Names  = TECM1 and TECM2) are now used to determine whether a student has met the Math requirement; End of Course Science results (Test Name = TECS1) are now used to determine whether a student has met the Science requirement; End of Course Math and Science results (Test Names = TECM1, TECM2 and TECS1) are now used to determine whether a student has earned a Certificate of Academic Achievement.

Change:

This provides the ability for school districts to import the EOC data and is in preparation for modifications to the Standardized Transcript which will be in a future release.  At that time the transcript logic will recognize the EOC data for determining whether a student has met standards for Math and Science and for earning a Certificate of Academic Achievement.  Note:  The TECM1, TECM2 and TECS1 setups are similar to that already in place for THSPE and TWASL.

Change:

  1. The report logic has been modified because the requirement to meet standards in Science in order to earn a Certificate of Academic Achievement has been postponed from the class of 2013 to the class of 2015.  Students in the classes of 2008-2014 earn a Certificate of Academic Achievement if standards are met in Reading, Writing and Math.

  2. In the Additional State Requirements section, the line for Science Standard is no longer printed for students with graduation requirements base year of 2013 or 2014.  It is printed for students in the graduation requirements base year of 2015 or later.

  3. If the grade mark is "W," instead of printing dashes for credits earned and credits attempted, the credits earned value is 0.000 and the credits attempted value is the appropriate value for the class.

Change:

The Schools Attended section will now display the name of the country if outside of the USA.

Reason:

Previously, the transcript only displayed city and state.  Some districts included country in the city field as a work around.

Change:

  1. Parent\Guardian Names:  The Family\Guardian names to be printed in the Parent\Guardian name section of the transcript can now be selected on the Guardian Information screen using the Print on Transcript checkbox.  A maximum of two names can be selected.  If no names are selected, the names from Guardian 1 and Guardian 2 of Family 1 are printed.

  2. Schools Attended:  The Entry\Withdrawal records to be printed in the School Attended section of the transcript can now be selected on the Entry\Withdrawal screen using the Print on Transcript checkbox.  Use of this option is only available to those who have appropriate security permission.

  3. Course Description:  Up to 20 characters now prints for the course description.

  4. Course Designation Code - Honors:  The "H" course designation code is now printed only once.

  5. New CAA Educational Milestones Type:  There is a new district Educational Milestones "CAA" record with Type = "CAA."  Additionally, there is a new record in the system table for Educational Milestone Types for Type = "CAA."  The standardized transcript logic has been modified to recognize the CAA Type value when determining whether a student has earned a Certificate of Academic Achievement.

  6. Course Designation Code - Cambridge Program:  The Cambridge Program field has been added to the Course selection options for user-defined course reports.

Reason:

  1. Parent\Guardian Names:  The names from Guardian 1 and Guardian 2 of Family 1 were always printed; however, that was not appropriate for some family situations.

  2. Schools Attended:   Schools were listed in the Schools Attended section if the enrollment dates corresponded with the Student Class records reported on the transcript.  However, there were times when this was not appropriate; for example, a student attends one entity for academic classes and attends another entity only for an athletic team.

  3. Course Description:  If the Category on a course is Transfer or Alternative or Waiver, a custom course description can be entered which is longer than the standard short description of 15 characters.  However, only 15 characters were printed on the transcript.

  4. Course Designation Code - Honors:  The "H" course designation code was printed twice if it was entered both on the Course screen and on a Student Class\Grade History screen.

Status for the Reading Standard and the Writing Standard:  Status = "Met" if the student has a level 3 or 4 score for the TWASL reading or writing test, or if the student has an educational milestone record with a date.  Status = "Waived" if the student has not met the reading standard or writing standard and if the student has "waived" information in the Comment field of the educational milestone.  If the status is not "Met" or "Waived," then the status is "Not Met."

  • If a Certificate of Individual Achievement has been earned, and a Certificate of Academic Achievement has not been earned, a line is printed for the Certificate of Individual Achievement.

  • If both a Certificate of Academic Achievement and a Certificate of Individual Achievement have been earned, only a line for the Certificate of Academic Achievement is printed.

In some cases the value printed was incorrect.  This could occur, for instance, in a trimester school when the credit value for a course was 1.00; the GPA Credits Earned and GPA Credits Attempted values for the third semester were printed as 0.333 instead of 0.334.  This occurred even through the correct value of 0.334 was used in all GPA calculations.

 

Additional State Requirements:

  1. OSPI stores an "L," and sometimes other alpha characters, with the student’s level score.  When such alpha characters are imported into WESPaC, the transcript logic was ignoring all data in the field with the level score.  The transcript will now ignore the alpha characters and use the numeric data in the field.

The report has been modified to utilize data in the Course Completion Date field (Student-Class.Wn-Cor-Comp-Date).

Reason:

Utilization of the Course Completion Date field allows an entity to override the standard term or semester end date that appears on the transcript.  A practical example of the use of this field is to enter the actual trimester course completion date on a transfer record entered in a 2 semester entity.

Implementation Note:

The Course Completion Date field is available for update on the Class History Maintenance screen only if the course involved has a Category of Transfer. To utilize this functionality, first update the category field on the course record for the appropriate year (SM\Office\Sched-CY\Course). The Standardized High School Transcript is the only report that utilizes data from the Course Completion Date field.

The Auto Calculate GPA process has a built in trigger to run for all students if 50 or more students are associated with changes causing a need for re-calculation of GPA.  So, if you order the WA Standardized Transcript for only two students, the Auto Calculate GPA process might run for all students before it produces the report.

  2. Student Status changes were causing multiple Entry\Withdraw lines to print for the current school when enrollment was continuous.

Continuously enrolled is when the entry date on one E\W record is the next day following the withdraw date of the previous E\W record. This must be the case even if the date is not a school day.

Changes:

  1. On the Output Destination screen, removed the option Process Report on Server.

  2. In the Academic Record section of the form, changed from a variable-width to a fixed-width font style and changed to a smaller font size.

  3. During the process of selecting class records with grade level 9-12, the system now looks first at the Transcript Grade Level Override (GLO), and then at the grade level which is based on Grad Year.

  4. Modified logic to select proper data for the report.

Reasons:

  1. Viper does not run on the appserver.

  2. Course code and\or course title were sometimes truncated when printed.

  3. Transcript Grade Level Override was added in the C03 release.

  4. Incorrect data was sometimes selected for the report.

For #2 above:  The maximum number of characters that will be printed for the Course description is 25.

For #3 above:  On historical class records, if the ECP grade level is not 9-12, but the class should be included on the students Transcript, enter the appropriate grade level (9, 10, 11, or 12) in the Transcript Grade Level Override (GLO) field on the Class History Maintenance screen. That is, use the Transcript GLO instead of changing the ECP grade level. This allows the class to be selected for the Transcript, but the ECP grade level is printed on the form.

  1. Used the Viper tool to print both background and foreground data on the report when printed on a laser printer.

  1. Allow the ability to print the WA State Transcript report on a laser printer in the school district.
