This program allows school districts to create a data extract of their active students (grades 3 through 10 and retesters in grade 11) as part of the student assessment process for the following tests: Washington Assessment of Student Learning (WASL), Iowa Tests of Basic Skills (ITBS) and Iowa Tests of Educational Development (ITED). The data is extracted into a format per specifications defined by OSPI and Pearson Educational Measurement. The resulting "pre-ID" file(s) is submitted to Pearson, who uses the data to create testing booklets and sheets for the districts to be used in administering the assessments. A report is also created, providing a list of all students included in the extract.
The program is titled "State Standardized Tests" on the WESPaC menu, and can be run at either the district level or the individual entity level, although typically data is submitted to Pearson for the entire district.
There are various sort options that determine how test materials are sorted by Pearson when returned to the schools. Note that the report and extract file created by this process are always sorted by the school and student name. The following options refer to how the data sent from Pearson to the schools are sorted:
ITBS/ITED Sort:
When the ITBS/ITED Report is selected, only one option in the Teacher/Group Test Book Sort section of the screen is available. That option is ITBS/ITED.
If no sort criteria is specified, the ITBS/ITED teacher name in the file and on the report will be blank, and the data formatted by Pearson will be sorted by school and student name.
If Homeroom Number, Class Period & Teacher, or Advisor is selected, the appropriate teacher name is included in the file and on the report. The data sent by Pearson to the schools will be sorted by school, grade level, teacher, and student name.
WASL Sort:
When the WASL Report is selected, three options in the Teacher/Group Test Book Sort section of the screen are available. These options are WASL LRW (Listening, Reading and Writing), WASL Math, and WASL Science. The following criteria are used for each of the three options:
If no sort criteria is specified, the teacher name fields in the file and on the report are blank, and the data formatted by Pearson will be sorted by school and student name.
If Homeroom Number, Class Period & Teacher, or Advisor is selected, teacher names are included in the file and on the report. The data provided by Pearson will be sorted by school, grade level, teacher, and student name.
Sort criteria can be defined for each test, and are not dependent on each other. That is, data returned to the schools can have different sort criteria (or none at all) defined for each WASL assessment to be administered.
The report selection screen includes the option to create an extract file. By default, the Create Extract File box is checked, which generates a text file to the standard export directory path defined in the District Configuration table. The file name is STUTESTxxxxnnn.txt, where:
xxxx = test selected (WASL or ITBS)
nnn = Entity-ID that is active when the extract file was created
Please note that when you create an extract file, any existing files with the same name (that is, files run for the same test within the same entity) are overwritten.
The Append Process then appends all individual entity extract files for the district into one master district file. In many cases, a district will use Append when they want the opportunity to review individual entity files, yet only submit one master file to Pearson.
The recommended naming convention for files submitted to Pearson is Pccddd.txt, where ccddd is the county district number. However, Pearson will accept multiple files per district. If this is your preference, simply use a naming convention that differentiates between the files that you are sending. It is a requirement that the file extension is .txt.
To submit Pre-ID data to Pearson, you may copy the file(s) to a diskette or submit it via a Web browser. The data center coordinator will have the current Web address (URL).
