There are several tabs available on the Account Master Information screen.
The Browse tab allows a user to view the Account Numbers in a list. By selecting an account number from the list, information in the tabs below display.
Access to buttons other than Select is determined by the Security Group you are assigned to.
Sequence is only available via the Browse tab. Sequence allows a user to change the sequence in which the dimensions of the account number are display on reports. See WESPaC Financial Management Sequences User’s Guide.
To change the Sequence:
From the Account Master Information screen, click the Sequence button. The Alternate Key Setup screen opens.
From the Current available sequences list, highlight the code you want to use.
Click the Select button.
From the Account Master Information screen, in the Sequence EEL, begin typing the Sequence code. Select from the list displayed.
The Detail tab allows a user to view the Account Numbers one at a time along with the dimension code and its description. Information in the tabs below displays.
The Prev and Next buttons are ONLY available on the Detail tab.
Prev moves you backward through the Account Number list.
Next moves you forward through the Account Number list.
The following buttons are available from the either the Browse or Detail tabs:
Filters are used to limit the accounts that display on the Account Master Information screen. Caution should be used when activating the Filters option. By using the account filter, you may decrease the performance of the account master information screens.
To set up a Filter:
From the Account Master Information screen, click the Filters button.
A Message screen opens warning you that by using the account filter, you may decrease the performance of the Account Master Information screens.
Click the OK button. The Filter Setup screen opens.
Click on the BS Ranges (Balance Sheet) tab, set the Low Acct and High Acct ranges you want to display.
From the Account Types frame, select the type of accounts you want to display.
If applicable, select the Group and Category ranges you want to display.
Select the Status of the accounts you want to display from the Status drop down list.
Click on the OS Ranges (Operating Statement) tab; set the Low Acct and High Acct ranges you want to display.
From the Account Types frame, select the type of accounts you want to display.
If applicable, select the Group and Category ranges you want to display.
Select the Status of the accounts you want to display from the Status drop down list.
When settings are complete, click the OK button.
NOTE: Use the Reset button to return the settings to the system defaults.
The Multi-Tool icon allows development of user defined Excel spreadsheets and graphs. See Using the Multi-Tool later in this document.
Lookup is the eyeglasses button. It allows you to quickly find another account in the Number Chart of Accounts list by entering each dimension value independently, rather than having to scroll through the list one account at a time.
NOTE: On the Browse screen, there are two Lookup buttons. Both serve the same function.
The Available funds field displays a summary of the funds available for the selected account. It should correspond to the Unused amount column on the FYtd (Fiscal Year to date) tab and the Funds available column on the AD (Activity Detail) tab.
The Quick Key allows you to assign a unique code that can be used to quickly access a specific account number in the chart of accounts.
To set up a Quick Key on an account number:
On the Account Master Information screen, click the 6Setup tab.
Click the Edit button. The Account Update screen opens.
In the Account Quick Key field, enter the Quick key you want to assign to the account number.
Click the OK button.
To remove a Quick Key from an account number,
On the Account Master Information screen, click the 6Setup tab.
Click the Edit button. The Account Update screen opens.
In the Account Quick Key field, blank out the Quick Key field.
Click the OK button.
The Status field displays whether the account is Active or Inactive.
An Active account can be used in processing.
An Inactive account is obsolete and cannot be used in processing.
