5 Printing Checks

Print checks after the check register has been created.

Check Header: Check stubs are printed with a column header if this option has first been set up in System Admin. The fund corresponds to the Account Description Short Description field. Some county treasurers in Washington require including the fund in the check header.

There are three check printing options. Each option requires setup in System Admin:

  1. LZR: A single column list of invoices being paid on this warrant prints, once on the top third of the sheet of warrant stock, and again on the middle third of stock. This selection can provide the account code information to be printed on the warrant stock. If there is overflow, the warrant on the bottom third of the stock will be voided, and the overflow will print on the next piece of stock. If overflow occurs, the MICR number on the voided warrant will not be used. This option lists a maximum of 13 invoices on each page.

  2. LXS: A two-column list of invoices being paid on this warrant prints, beginning on the top third of the warrant stock and continuing into the middle third without duplication. This selection does not provide the option to print account code information on the remittance advice. If there is overflow, a new warrant will be started for the vendor. This option prints a maximum of 52 invoices on each page.

  3. Print Engine: A single column list of invoices being paid on this warrant can be printed on pressure-seal paper. This selection provides the fund short description to be printed on the warrant stock when Multiple Funds is set to "No" in System Admin. If there is overflow, a new warrant will be started for the vendor. This option prints the MICR number. This option requires a printer capable of using MICR toner, and approval from the County Treasurer. This option prints a maximum of 32 invoices on each page.

Check Header / Remittance advice setup

  1. Click SYSTEM ADMIN.

  2. Click FINANCIAL MNGMNT.

  3. Click FM CONFIG, which opens the Financial/Human Resources Configuration screen.

  4. Click ACCOUNTS PAYABLE under Financial.

  5. Select one of the following values for A/P Check Type: Select LZR for option 1, shown above. Select either Print Engine or LXS for option 2.

  6. Select Yes for the Print Check Headings option.

  7. Click OK to save this setup.

 You must have System Administrator access to perform this setup.

Printing Checks

  1. Click FINANCIAL MNGMNT.

  2. Click A/P.

  3. Click CHECK PROC. to open the Check Processing Options screen.

  4. Click PRINT CHKS to open the AP Check Printing Parameters screen.

  5. Name Format: Select either Last, First, Middle or First, Middle, Last.

  6. Click VIEW CHKS if you want to view a list of the checks to be printed. (None of the other fields on this screen may be updated.)

  7. Click PRINT, which opens the Output Destination screen.

  8. Select an Output and Printer from the listed options.

  9. Click OK to create the checks or CANCEL to exit.

After printing checks, districts have the option of creating a reconciliation warrant file for the County Treasurer. This allows the County Treasurer to track warrants as they are redeemed.
