The Exception Report will print before the actual Mix Factor Report if errors or warnings exist. Employees with errors on the exception report are not included in the Mix Factor Report. Further processing does not occur when error exceptions are found because the data needed for further processing is missing. The report displays all warning messages until the first error is found for an employee.

 

The exception report lists employees by name key and name, displaying the following error messages and warnings:

 

Error Messages

Meaning

Error – No degree found.

The degree is critical for further processing because it is used when calculating credits, finding the correct mix factor, and determining salary placement.

Error – Invalid Grade From code for ’r;description of position code’ position.

  • The position/program description can be seen on the assignment screen. Including this information in the error message helps identify which employee assignment is in error.

  • This error displays if the program requires a Grade Group, and the value is other than "P", "K", "E", “F”, "M", or "S".

Warning Messages

Meaning

Warning – Invalid OSPI Certificate number found.

Displays if the OSPI Certificate number format is found to be invalid:

  • Positions "1-6" of the OSPI Certificate number must be numeric.

  • Position "7" is an alpha from values "JABCDEFGHR".

  • An algorithm process determines if the alpha in position "7" is valid with the numbers in positions "1-6".

  • OSPI Certificate numbers with "99" in positions "1-2" and space in position "7" are valid. These are temporary certificate numbers.

Warning – No OSPI Certificate number found.

Displays if no certificate is coded as OSPI or if no certificate number is found on a certificate coded as OSPI.

  • The Current Certification field is not used for determining whether a certificate is an OSPI certificate.  The factor that designates a certification record as an OSPI certificate is the presence of theCert Type with Description of OSPI Certificate Number and St. Code of OSPI.

  • Valid Issue Date and Expiration Date combinations are also required to avoid the "No OSPI Certificate Found" warning.

    Possible valid date combinations are:

    • Expiration date >= "today" and Issue date <= "today"

    • Expiration date blank and Issue date <= "today"

    • Expiration date >= "today" and Issue date is blank

    • Expiration date blank and Issue date blank

 

All other date entry combinations will trigger the “No OSPI Certificate number found” warning.

Warning – Multiple OSPI Certificate numbers found.

Displays if more than one certificate is coded as OSPI.

  • If an employee has more than one certificate, only one should be assigned the Cert Type with Description of OSPI Certificate Number and St. Code of OSPI on the Employee Profile Master Credits tab in the Certifications display.  If an employee has a basic education certificate number and a vocational education certificate number, then whichever certification the job requires should be designated with the Cert Type of OSPI Certificate Number and St. Code of OSPI.
