12 Summary, Detail, and Exception Report Criteria

Summary and Detail reports include all students who qualify for Special Education services. For students to appear on the Summary and Detail reports, they must meet all of the criteria in steps 1-7. Students who do not meet criteria 1-3 are ignored.  

  1. Students must be active in Special Education. (Exit Date must be blank). (SE-Student.Spec-Ed-Dismissal-Date = blank)

  2. Students must have a current evaluation and meet all of the following criteria:

    1. The Evaluation cannot be a work in progress. (SE-Stu-Eval.WIP = "No")

    2. The Evaluation Completion Date must be on or prior to December 1 of the reporting school year and cannot be blank. (SE-Stu-Eval.Assmt-Compl-Due-Date≤ December 1 of Entity.School-Year minus 1 and ≠ blank)

    3. The Next Evaluation Date must be after December 1st  of the reporting (current) school year. (SE-Stu-Eval.Next-Eval-Date> December 1 of Entity.School-Year minus 1)

    4. The Next Evaluation Date must not be greater than three years from December 1st of the reporting (current) school year. (SE-Stu-Eval.Next-Eval-Date≤ December 1 of (Entity.School-Year minus 1) + 3 years))

  4. Students must have a current IEP and meet all of the following criteria:

    1. The IEP cannot be a work in progress. (SE-IEP.IEP-WIP = "No")

    2. The IEP Begin Date must be on, or prior to December 1st of the reporting (current) school year. (SE-IEP.IEP-Beg-Date ≤ December 1 of Entity.School-Year minus 1)

    3. The IEP End Date cannot be blank. (SE-IEP.IEP-End-Date ≠ blank)

    4. The IEP End Date must be after December 1st of the reporting (current) school year. (SE-IEP.IEP-End-Date > December1 of Entity.School-Year minus 1)

    5. The IEP End Date must not be greater than one year from December 1st  of the reporting (current) school year. (SE-IEP.IEP-End-Date ≤ December 1 of (Entity.School-Year minus 1) + 1 year)

Students who do not meet criteria 4-7 will appear on the Exception Report:

  1. Students must have a qualifying Basic Education record and meet all of the following criteria:

    1. The student’s entry date must be prior to, or on December 1st of the reporting school year. (Student-EW.EW-Date ≤ December1 of Entity.School-Year minus 1)

    2. The student's withdraw date is blank. (STUDENT-EW.WITHDRAWAL-DATE = blank)

    3. The student’s default entity must indicate "yes". (STUDENT-ENTITY.X-DEFAULT-ENTITY = "yes")

- OR -

    1. The student have an entry date prior to, or on December 1st of the reporting school year. (STUDENT-EW.EW-DATE December1 of ENTITY.SCHOOL-YEAR minus 1)

    2. The student's withdraw is after December 1st of the reporting school year. (STUDENT-EW.WITHDRAWAL-DATE > December 1 of ENTITY.SCHOOL-YEAR minus 1)

    3. The student’s withdrawal default entity must indicate "yes". (STUDENT-EW.X-WITHDRAWAL-DEFAULT-ENTITY = "yes")

  1. The student’s age as of December 1st of the reporting school year must be greater than or equal to 3, and less than or equal to 21. (Name.Birthdate - (Entity.School-Year minus 1) minus the year of the birth date.  If the month and day of the birth date is after December 1 of the reporting school year, minus 1)

  1. The student must have a valid state-defined primary Disability Condition code of 01-14. (Special-Service.StateReporting-Code of SE-Stu-Eval-Handicap.Special-Service-ID must = 01 through 14)

  1. The State Reporting Code for the student’s state defined primary disability condition code must be valid for the student’s age:

    1. If the student’s primary disability condition code is 01, the student’s reporting age must be 3 through 9. (If Special-Service.State-Reporting-Code of SE-Stu-Eval-Handicap.Special-Service-ID = 01 and Special-Service.X-Handicap and SE-Stu-Eval-Handicap.Primary-Handicap-X = "Yes", the student’s reporting age must be 3 through 9)

- OR -

    1. If the student’s primary disability condition code is 02 through 14, the student’s reporting age must be 3 through 21. (If Special-Service.State-Reporting-Code of SE-Stu-Eval-Handicap.Special-Service-ID = 02 through 14 and Special-Service.X-Handicap and SE-Stu-Eval-Handicap.Primary-Handicap-X = "Yes", the student’s reporting age must be 3 through 21)
