Employee Types | ADD | EDIT | DELETE | REPORT | Re-establish Employee Type Count |

Every person you enter in Payroll is assigned an employee type. Types are used to differentiate groups of employees, usually by their main job description, or by the way they are paid. Types can be used to select employees as a group, rather than selecting each individual employee.

  1. Click the Profile - PR codes folder on the Codes screen to display the list of Profile codes in the Options column.

  2. Click on Employee Types - ET to highlight it and click the Run button. The Employee Type Code List screen opens.

Adding an Employee Type

  1. Click the Add button. The Employee Type Maintenance screen opens.

  2. Enter an Employee Type of up to five characters.

  3. Enter a Short Description of up to 15 characters.

  4. Enter a Long Description of up to 30 characters or let the system fill the field with the Short Description value.

  5. Select Yes from the drop down list associated with Workers’ Comp Average to mark the pay code for workers’ compensation average.

  6. Enter the Workers’ Comp Average Hours.

  7. Enter the TRS-1 hours in the TRS-1 Hrs per Day field.

  8. Click the OK button to save the code and return to the Employee Type Code List screen.

Editing an Employee Type

  1. Click on the Employee Type you wish to edit and then click the Edit button. The Employee Type Maintenance screen opens.

NOTE: You cannot change the employee type code, but you may change the Short Description and/or Long Description, Workers’ Comp Average, Workers’ Comp Average Hours, and TRS-1 Hrs per Day.

To change the code you must delete the existing code using the Delete button on the Employee Type Code List screen and add a new employee type code.

  1. Make the necessary changes and click the OK button to return to the Employee Type Code List screen.

Deleting an Employee Type Code

  1. On the Employee Type Code List screen, highlight the Employee Type you wish to delete and then click the Delete button. A Delete Code? screen opens asking if you are sure you want to delete the employee code.

  2. Click the Yes button and the employee type code is deleted.

NOTE: If the deleted employee type code has been assigned to any records, the description is deleted from the Employee Type description field on the Prsnnel tab, but the code remains in the Code field for those records.

 Running an Employee Type Report

  1. Click the Report button on the Employee Type Code List screen. The Employee Type Ranges screen opens.

  2. Enter the employee type Code ranges that you want to print, or to get all employee types, keep the default values.

  3. Click the Print button. The Output Destination screen opens.

  1. Select the print parameters and click the OK button to print the report.

Re-establishing Employee Type Count

NOTE: Any time you edit an employee type code, the employee type count for that code resets to zero.

  1. To re-establish the count of employee types in the Count column of the Employee Types table after new employees have been added or their employee types changed, or the employee type code has been modified, click the Count button on the Employee Type Code List screen. The Employee Counts message screen opens asking if you would like to continue.  

  2. Click the Yes button to re-establish the counts.
